10 Tips for Telecom Cost Management

If that’s not a tongue twister, I’m not sure what is. Today we’ve put together ten tips to assist your team in reducing telecom costs across your organization. We didn’t say it’d be easy, but it is definitely worth it.

Steps to take towards controlling telecom costs:

1. Take inventory

It may seem simple, but knowing what you actually have and what is being used – is powerful information. Taking a detailed inventory of the devices, circuits, and landlines is the first step in active telecom management.

2. Review each invoice

Who’s reviewing telecom invoices each month? If the answer is ‘I’m not sure’ or ‘no one’ – you are missing opportunities for saving through correcting invoice errors. We can confidently say that 35% of ALL invoices have some sort of error.

3. Contract Double-Check

Have your agreed-up rates actually been implemented? Double check your invoices for compliance with your contracts. You’d be surprised what can slip through…

4. Slice it

Cost allocation means charging the correct location, department, employee for their usage of that particular service. Invoices can be sliced or granualized to 1% of the entire invoice.

5. Ask for better rates

When was the last time you negotiated with your carriers? It may be time to issues (or even just threaten) to offer an RFP for new services and rates.

6. Pools Your Mobile

Depending on your wireless environment, it may be worth considering pooling you minute and data plans across all devices. Read more about pooling, here. 

7. Upgrade your tools

8. Recover Credits

Reach out to each individual carrier to be reimbursed for errors and contract compliance errors. Sitting on hold can be a pain, but recovering those funds is well worth the time (especially if you’ve been wrongfully charged for years! Read a scary example of this, here).

9. Streamline Bill Pay

Late fees are a big hassle, and can add up quickly. Streamline bill pay, by handing it off to your TEM provider. They will cut a check for each individual invoice, and confirm that it has been applied to the proper account. On time, everytime.

10. Mix it all together

One by one, these techniques will gain you some distance and find you some savings. Mix them all together, and you’ve got a powerful force for active telecom expense management.
